Cyggie is a CRM for people who would rather not update a CRM. It listens to your meetings, reads the email and files you connect, and builds your companies, contacts, notes and memos for you. That only works if you trust us with a lot. This page says, in plain words, what we hold, where it lives, who else touches it, and how you get it back or make it go away. 1. What Cyggie collects

• Your account. The Google account you sign in with (name, email address, profile picture), your firm's name, and the people you invite.
• Your CRM. Companies, contacts, tasks, notes, tables, memos, and the relationships between them — whatever you enter, import, or Cyggie derives from your meetings, mail and documents.
• Meetings. When you record a meeting, the audio is transcribed; Cyggie keeps the transcript, a summary, the attendees and the calendar event it came from. Recording is always your explicit action, and it is your responsibility to have the consent your jurisdiction requires from the people in the room.
• Email and calendar. If you connect Google, Cyggie reads the mailbox and calendar you connect to find follow-ups, commitments and meetings. Full email content stays with Google and, in bounded form, on your own computer; a trimmed projection of the messages that matter to a company or contact is kept for you alone. Teammates never see your email through Cyggie.
• Documents. Files you attach or upload (pitch decks, memos, contracts) and the text extracted from them, so Cyggie can read and cite them.
• Usage and diagnostics. Which features run and how much AI they use (metered per firm), an audit trail of changes, and — on new installations — anonymous crash reports (section 4).

2. Where it lives

• On your Mac. Cyggie is local-first. Your working copy lives in a database in the app's own data folder on your computer (new installations) and stays usable offline. You can remove this copy at any time from Settings → Account (“Remove this Mac's copy”).
• Cyggie Cloud. A synchronized copy is kept on our servers so your other devices and your teammates can see what you share. Rows are scoped to your firm and, within it, to their owner: private records stay private at the database level, not just in the interface.
• File storage. Original document and attachment bytes are stored in object storage under keys tied to your firm.
• Your own accounts. Your email, calendar and any Drive files stay with Google. Disconnecting Cyggie stops our access; it does not delete anything at Google.

3. Who else processes it

Cyggie runs on a small set of infrastructure and AI providers. The full list, with what each one receives, is on the subprocessors page. In short: our database and servers, object storage, the model providers that transcribe audio and generate text and embeddings (Anthropic, OpenAI, Deepgram and the others listed), web research and retrieval providers used for enrichment, Google for the services you connect, Slack if your firm installs the Slack app, and Sentry for error reports.

When your firm runs on Cyggie's managed AI, Cyggie's own provider accounts process your prompts and Cyggie pays for them; usage is metered per firm and visible in Settings. When your firm brings its own keys, your provider account processes them under your agreement with that provider. Either way, prompts carry only the records the requesting person is allowed to read.

Provider-side retention is governed by each provider's terms. Nothing Cyggie sends to a model is used by Cyggie to train models, and we choose providers whose API terms exclude training on customer content.

4. Crash reports

New installations send anonymous error reports to Sentry so that crashes get fixed. Reports carry the error, the app version and the operating system. They never include prompts, transcripts, documents, notes, keys or email addresses — the app strips those before anything leaves your Mac. Turn this off any time under Settings → AI → Advanced → Diagnostics; existing installations keep whatever they chose.

5. What we do not do

• We do not sell your data, and we do not share it with advertisers.
• We do not read your CRM except to run the service, investigate a problem you report, or where the law requires it. Operator access is logged.
• We do not let one firm see another firm's data. Firms are isolated at the database level.
• We do not train models on your content.

6. Taking it with you, and having it removed

• Export. Settings → Account → Your data → Export writes everything Cyggie holds for you into one file: contacts, companies and tasks as spreadsheets; notes, meetings and memos as Markdown. You can import it back later.
• Remove a computer's copy. Settings → Account → “Remove this Mac's copy” sets aside the local database on that machine. Your synchronized copy is untouched.
• Delete your firm. Email support@cyggie.com from an admin's address. We remove every record, document, file and setting your firm holds in Cyggie Cloud and in file storage, deactivate its members, and confirm when it is done. Data already sent to model providers cannot be recalled from them; data in your own Google account is not affected.
• Retention. Records you delete go to a recycle bin for 30 days, then are purged. Our database keeps point-in-time backups for a few days for disaster recovery; they expire on their own.

7. Security

Data moves over TLS. Credentials you give Cyggie are encrypted at rest with keys held by the service; teammates can never read them. Sign-in is through Google; sessions are per device and can be revoked by a firm admin. Please report a security concern to support@cyggie.com before disclosing it elsewhere.

8. Google user data

Cyggie's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Gmail data is used only to provide the features you turn on (follow-ups, commitments, email context for the records you are looking at); it is never used for advertising and never read by a human except with your permission to investigate a problem.

9. Children

Cyggie is a business tool and is not directed at anyone under 18.

When this page changes in a way that matters, we say so in the app and by email to firm admins, with the date above updated.
